Terms & Conditions

H.M.Equine Transportation & Services is a family run business with over 15 years of equine related experience and over 30 combined years of professional driving experience.

 

All business undertaken by H.M.Equine Transportation & Services is subject to the terms & conditions set out below. These will be set out to be an agreement between H.M.Equine Transportation & Services and its customers. H.M.Equine Transportation & Services carry only Equines subject to these conditions. It is the customers responsibility to thoroughly read these terms and conditions. The customer warrants that they are either the owner of the horses to be carried or are the authorized carer of the horses and accepts these conditions for themselves and for those on behalf of who they are representing.

 

Bookings & Cancellations

★ The customer agrees to pay H.M.Equine Transportation & Services a deposit of 20% of the cost of transport at the time of booking. This will provisionally book the horse in on the requested date of transport and is NON - REFUNDABLE. The remaining amount must be paid in full 48 hours prior to transport commencing, Failure to do so will result in the booking being cancelled. Bookings worth less than £200 must pay 50% upfront and the remaining fee 48 hours before transport commences. If you wish to amend your transport date, it must be done before 48 hours of your transport commencing and will incur a £25 admin fee charge.

★ When a booking form is completed with the 'booking' option selected, your booking is confirmed. Due to the nature of the job, it may take up to 14 working days for someone to send relevant paperwork, depending on the timescale of your booking.  Once the form is submitted the booking IS confirmed meaning you are still liable for a deposit at the rate outlined above OR a cancellation fee of 20% Should you decide not to continue with the booking.

★ Cancellations within 48 hours of transport will not be refunded and within 72 hours will be 25% refunded. Of course, there will be unavoidable and exceptional circumstances in which H.M.Equine Transportation & Services will use discretion, understanding and humanity to liaise with the customer to provide a reasonable outcome.

★ All invoices will come with a due by date, any invoices not paid by that date will incur a charge of 20% of the overall invoice per day the invoice is not resolved. if this is a genuine oversight please contact us so we can resolve and waive the extra charges. 

★ All of our pricing is subject to VAT being added at 20%. So a journey priced at £200 + VAT is a total of £240. Our current pricing is £1.25 per mile +VAT per horse, for a shared or subject to shared load. For a single/private load, we charge £1.60 per mile + VAT. An empty mileage charge of £0.50 per mile will be added for any mileage traveled empty, to collect your horse or to return from delivering your horse. Prices are subject to change as per the economy, rising fuel prices etc.

★ We have a minimum charge of £125+ VAT. This is to ensure that no matter how small the mileage, the basic daily running fees and minimum wage requirements are met.

★ Quotations are valid for 30 days. If you book your transport within the 30 days from receiving a quote, even for up to a year ahead, the quotation will be honored. If you ask for a quote and do not book within 30 days then your will need to ask for a new quote in case of pricing changes.

★ H.M.Equine Transportation & Services also provides emergency transport for horses needing urgent veterinary treatment, should you breakdown with your vehicle or any other equine related transport emergency. An emergency call out fee of £125+VAT will be charged, and mileage at £1.80 + VAT per mile thereafter.

★ Abuse towards H.M.Equine Transportation & services, any staff or persons acting on behalf of H.M.Equine Transportation & Services will not be tolerated and will result in immediate termination of any contract with no refund given. Repeated abuse and abusive behavior will result in further legal action being taken against perpetrator(s).

Extra services & Ferry bookings

★ Some journeys may require additional services. These often include overnight stabling and ferry services. Stabling will be charged per night or per week. Prices may vary, as to where in the country they are required.

★ Journeys requiring a ferry are subject to extra conditions; The full ferry fee MUST be paid for in full upon booking along with the 20% transport deposit. Ferry shares are available and should we find another horse to share the journey, we will reimburse a portion of the ferry fee.

★ Ferry Journeys may not always be available on the exact dates you require, so with that in mind please be prepared to have a few days leeway in dates for this. Also, during busy/ peak season, the ferry is booked weeks in advance so pre planning of journeys requiring ferries are a must. In emergency situations we can liase with the ferry companies to do whatever we can to assist you.

★ Ferry services are subject to weather conditions for sailings, especially in winter. During times of bad weather including high winds, heavy rain, storms and sea swell ferries will often be cancelled at short notice, with a backlog to follow. Any ferry journeys that are cancelled will be re-booked at the earliest possible convenience. Any costs that are incurred (extra stabling / hay / etc) due to ferry cancellations or delays are the customers responsibility, and will be billed accordingly.

★ The customer will be billed for any tolls or clean air charges incurred during transport.

★ A waiting fee of £12.50 per hour will be applied at any events/ arena hire/ ferry journeys etc. where we are waiting for the return journey of the horse or berthing of ferry.

 

Loading and Transportation

★ A legal Passport MUST be provided for the horse at time of transport, that matches the horses description accurately. This is a legal requirement in the UK. Horses can also be transported with a valid microchip bar code that matches the horse presented and a letter from the passport issuing authority (with the microchip number on) to say the passport has been applied for. Photocopies will not be accepted.

★ Horses will not be transported without a passport. Microchips will be matched with passports by the transporter by way of scanning. In the circumstances a horse does not match the passport or microchip provided, or no passport is provided at all, transport will be declined and the customer will not be entitled to a refund.

★ H.M.Equine Transportation & Services reserves the right to accept or refuse transport of any horse at any time. Horses without passports, relevant travel documentation or failing any health checks will be refused transport without refund. Horses must be in a fit and healthy condition to travel, unless going to the vets. Horses displaying any clinical signs of infectious diseases or illnesses will be refused transportation without refund. Any horses that prove to be dangerous to load or travel will be offloaded if already in transit or refused transport without refund.

★ The customer, will not knowingly book a horse onto a shared load that is dangerous, or suffering from any infectious diseases as their transport can be terminated without refund. Measures can be taken to transport dangerous horses, and H.M.Equine Transportation & Services will assist to the best of their ability but are in no way responsible for any injuries during the transport of a known dangerous horse. Any damages incurred due to a known dangerous horse is the customers responsibility and will be billed accordingly.

★ Loading of reluctant horses must have the time capped at 45 minutes. Should your horse not load within this time frame, a further fee of £10 for every half hour will be levied, then re attempt at transport will be offered at a later date, at a reduced charge with no refund being given for the first attempt. Loading training can be provided by separate negotiation.

★ H.M.Equine Transportation & Services holds Care custody & Control Insurance up to a value of £10,000. Upon paying your deposit or accepting these T&Cs you are accepting of this level of cover.

★ In the event of an emergency situation occurring, we will endeavor to contact you immediately. However, the welfare of the horses in our care is of upmost importance, and should we not be able to contact you or are unable to, we reserve the right to seek and contact any veterinarian/ farrier / equine professional etc to assist us. Any cost incurred will be the customers responsibility and billed accordingly.

★ H.M.Equine Transportation & Services will not be held responsible for any hold ups or delays during transport. We will endeavor to collect & deliver on time, but due to unforeseen circumstances and the nature of the animals we work with, it could be later than agreed. Should any loss of entry fees or any other costs incur due to delays H.M.Equine Transportation & services will not accept any liability. ★ In the event of exceptional or extreme circumstances such as weather conditions, making any journey unsafe to carry out; we will use our best judgement and may have to rearrange your transport at the next available convenience.

★ The customer is responsible/liable for the horses at all times and must ensure that adequate liability insurance is in place. Any damages caused by the horse to any equipment, property or employee's including horse lorries, stables, fields, menages, horse walkers etc. will be paid for by the customer. H.M.Equine Transportation & Services will provide an invoice from any one of its service partners for any repairs undertaken.

★ In addition to the above point a fee of £100 +VAT per day will be charged for every day the horsebox is not able to be used, this is to allow for loss of earnings, until the repairs are completed. Customers are invited to complete a visual inspection before horses are loaded.

★ H.M.Equine Transportation & Services reserves the right to sedate your horse and / or call veterinary advice/ assistance should your horse become unsettled on the journey. The customer will be responsible for all costs incurred.

★ Your horse will be videoed throughout the journey, while this is nice for updates, it is there to protect us and our business in the event of any accident/ incident. By agreeing to the T&Cs you agree that videos that you or your horse may appear in will be shared with insurance companies and any relevant parties.

★ H.M.Equine Transportation & services recommends that horses wear appropriate leg and tail protection during transport (although this is at the owners discretion due to each horses individual preferences) and that a head collar and lead rope is provided with the horse. Should this be needed but not available upon arrival H.M.Equine Transportation & Services will provide appropriate protection & head collar and bill the customer accordingly for the hire of equipment. H.M.Equine transportation & Services can provide equipment accordingly by prior arrangement.

★ H.M.Equine Transportation & Services will provide hay and water to feed and water horses as per WADT 2006 unless instructed otherwise. Should your horse require an alternative to hay then the customer must provide this in their own hay net ready for transport collection.

★ Breakdowns and mechanical failures do happen unfortunately. Although they are not a common occurrence, breakdown cover which includes the onward travel of any equine on board is held by H.M.Equine Transportation & Services, through the Equine Rescue Service. Any extra costs incurred will be at the customers expense.

★ H.M.Equine Transportation & Services take all precautions and care necessary, however customers are responsible for their horses throughout the journey and in the event of any accidents/ injuries incurred to or by your horse throughout transport, H.M.Equine Transportation & Services will not accept any liability.
